Get Things Done

Contrary to what you may think, getting things done  (GTD) is a fairly simple methodology. It’s about managing several lists with some rules that anyone can understand and apply.

The most complex part of GTD is not in theory but in practice since you will surely need to develop—if you do not already have them—one or more of the three habits needed to get things done productively:

1. Don't keep things in your head

“If you your mind is empty, it is always ready for anything, it is open to everything” ~ Shunryu Suzuki

David Allen emphasizes that it is necessary to capture everything that might be something you have to do, keeping it in a reliable system that you can review at any time, out of your head! (and there are scientifically sound arguments in favor of this habit).

Everything means 100% of things. Those that you have to do soon and those that you have to do someday, the big ones and the small ones, those that have to do with your work and those that are part of your personal life, the significant ones, and the others as well. Why is this so important?

  • Because everything you consider incomplete will require your attention steadily and unconsciously.
  • Thinking of the same things repeatedly makes you waste time and generates stress. If you get these things into a trusted system, out of your mind, you will stop thinking about them.
  • You get a clear idea of the volume of things you have to deal with.
  • You can increase your concentration in any activity since you are not distracted by indefinite stuff hitting your head.
  • You will learn where your commitments are, which will allow you to say no to things you should not and do not want to do.
  • It boosts your creativity because now you are using your mind to think about things, not to remember things.
2. Decide, decide and decide

“Without a next action, there remains a potentially infinite gap between current reality and what you need to do” ~ David Allen

Everything that comes into your life can’t just stay there. You must discipline yourself to make decisions about all your stuff. You must know clearly what your commitment to each thing is and decide what to do—or what not to do—about it.

In order for your organization to work properly, you need to empty your inbox on a regular basis, that is, to clarify what each of the things that you have previously captured mean. Clarify does not mean do, it means you must decide what each thing is and what you are going to do with it. Why should you do this?

  • Because this way you become aware of reality and you can focus on what is important without letting yourself be carried away by the urgent. And you lower your level of anxiety.
  • You gain control of the situation since you know exactly what things you’re not doing.
  • Every time you make a decision there is a feeling of relief and you feel less pressure because you can see things more clearly.
  • You become accountable for your things and that will raise your self-esteem.
  • Your ability to get things done will be reinforced. You are more productive.
3. Review your system regularly

“To make knowledge productive, we will have to learn to see both forest and tree.” ~ Peter F. Drucker

Your system must be up-to-date in order to be useful. You must reflect on the important things in your life and your work, your current projects, and your next actions, as often as you need to not have to think about it. Some reasons to do this:

  • Reviewing everything lets you know what things you are not doing.
  • You’ll ensure you have defined the next action step for each incomplete and this will allow you to advance all your projects.
  • If everything is under control, your head remains free to think at a higher level.
  • Clarifying your current situation and reviewing your long-term goals will help you make better decisions.

Normally, when it comes to your digital marketing, you would have to work with a plethora of different tools and platforms. Still, with the right software for communication, you can seamlessly integrate all these tools and application into a single spot. Working smarter, not harder, that’s the key to success.

Remote Work

Another great advantage of social networks is that it has allowed people to work remotely. In the US alone, these telecommuters amount to around 45 percent of all employees. Facebook Messenger is one of the most popular pieces of IM software out there and it allows your team a quick and simple communication. This is great even for people who work on the opposite sides of the same office since it helps them create less noise to distract others. So, next time you walk through the office and see an employee on their Facebook, you can either scold them or suggest them for promotion. Either option is viable.

Product Placement

Finally, once you share content on social media you start a wildfire. There’s a chance that any of your contacts may share it as well, which opens up all their contacts as potential brand ambassadors. Still, you need to make your content compelling, interesting and above all shareable in order to encounter this kind of reaction. It goes without saying that different platforms have different target demographics, which is yet another thing to keep in mind when planning your social media marketing campaign.

The best thing about the aforementioned is that the price of any of these actions goes from low to completely free of charge. Needless to say, this makes it ideal for startups which usually operate on a tight budget as it is. Productivity Tips to Help You Get More Done

If you sometimes lie awake at night worrying about how you’re going to get all your work done, you’re not the only one. According to research from the Anxiety and Depression Association of America (ADAA), 40% of American employees experience excessive anxiety in their working lives. In a tough economic environment, professionals have to work harder to stay ahead of the competition, meaning they take on more projects with tighter deadlines and don’t defer tasks when required. No wonder national stress levels are sky high!

It’s not all bad news. Even if you’re not naturally organized, you can learn how to manage and prioritize your tasks to make it seem as if there are more hours in the day. Here are some productivity tips to help you get more work done in less time.

1. Create a realistic to-do list

People often underestimate the value of planners and to-do lists and don’t spend time on them. They simply perform the first task they spot and move on to the next without clear direction. This lack of direction means that you spend more time on your tasks and on deciding what you need to do next. You also feel less accomplished at the end of the day because you had to postpone certain chores and projects.

A realistic daily to-do list can help you stay on schedule and get everything done. You will also know which tasks you simply won’t be able to fit in and plan your schedule accordingly. You just need 5 to 10 minutes to go through the tasks and create a small to-do list on the night before your workday. Be sure to include everything from big work projects to small grocery store visits.

2. Schedule chunks of time

According to a study conducted by Microsoft, if you’re interrupted or distracted while working on a task, it takes at least 15 minutes for you to focus again. That’s why it’s essential to schedule chunks of time and make sure you’re not disturbed during this period. You should shut-off your social media, place your phone on silent, and remove all distractions from your immediate surroundings.

During this scheduled time, you should maintain your focus on the task at hand and get it done. After the task is accomplished, you can reward yourself with a small break and do something else.

3. Delegate

Modern entrepreneurs and professionals often struggle with this. They try to do everything themselves and don’t delegate tasks to their employees or fellow team members, even when they’re overwhelmed by work. Don’t be afraid to delegate tasks that can be handled well by other members of your team or employees.

Professionals who learn to delegate well often finish projects quickly and stay ahead of the game. They’re also more aware of the full potential of their team or employees and help build a strong work culture in their office.

4. Stop multitasking

Many people mistakenly assume that multitasking helps them save time and get things done quickly. Nothing could be further from the truth. As mentioned earlier, the brain takes at least 15 minutes to refocus when you switch tasks. When you work on two things at the same time, you’re forced to switch focus continuously, with an obvious knock-on effect on your productivity.

Instead of multitasking, focus your attention on one task at a time and get it done. You’ll be less distracted and will avoid making mistakes. You’ll also get everything done at a steady pace and still have some time to take breaks in between tasks.

5. Don’t be a perfectionist

Perfectionism is perhaps the biggest obstacle to productivity and can cause a lot of stress. It’s not really possible to be absolutely perfect at everything. You just need to focus all your attention on the task before you and do your best. As long as the results are good and your customers are satisfied, you don’t need to worry about getting everything absolutely right.

Of course, this doesn’t mean you shouldn’t focus on quality. There’s a difference between making sure your work is up to standards and setting impossible standards. If you’re a perfectionist, you’ll never be satisfied with your work and always find flaws in it. That is something you should avoid at all costs.

6. Sleep

Almost every article and guide on this subject will recommend that you get a sufficient amount of sleep if you want to stay productive. According to the National Sleep Foundation, adults need 7 to 8 hours of sleep every day and if you don’t reach that quota, you will add to your sleep deficit. This deficit will eventually slow you down and have an impact on your productivity.

If you follow these tips, you’ll get more work done efficiently and still have some time on your hands to sit back and relax. Smart organizing and prioritizing is the best way to improve productivity. However, you should also keep in mind that there’s a limit to how much you can do. Don’t expect too much from yourself and take on more than you can handle – the last thing you want to do is burn out. Be kind to yourself, work productively, and you’ll get results with none (or at least a lot less) of the stress!

5 Easy Tips to Make Your Ideas Happen

Although the successful execution of an idea is essential for it to become reality, the truth is that the source of all innovation—and the source of any creative work—is an idea that someone had at any given time and did not let slip away.

Most ideas never happen. The seed of each idea is an ephemeral, brilliant, little thought about something, that comes and goes as soon as your day to day grind—an email, a phone call, whatever—comes to distract you away from it. Other times, the idea is followed by a period of time in which you are really excited about it but, again, the routine comes back to undermine your excitement and the idea is forgotten over time.

The truly sad thing about this is that you will never know if any of these ideas would have changed the world we live in, even if only a little bit.

So what can you do to turn an idea into reality?

1. Capture.

At the moment you have an idea, write it down somewhere where you absolutely know you are coming back to regularly. If you practice GTD then that place is your Someday/Maybe list. You can also use a simple notebook to write and develop your ideas.

2. Get organized.

Getting organized provides a competitive advantage in today’s marketplace. You should implement a personal organization system. People who do not organize their tasks, calendar, meetings, etc. have a much higher chance of failing to implement their ideas. Mainly because they live in a reactive mode rather than being proactive. Take your time to think deeply about your idea and write the next actions you need to carry out. Be sure to keep any additional material that’s relevant to your idea.

3. Share.

Share your idea with your team, your clients, or people in your immediate environment. To carry out an idea you need different kind of people: those who think and those who do. Any assistance and support you can receive is welcome. Furthermore, by making your idea public you create a strong internal commitment to see it through to fruition.

4. Execute.

Perform and complete all necessary tasks and make sure there are always next action steps in your system. Capture any other ideas you have while working. Do not let your idea fade away, and periodically review how its implementation is progressing.

5. Lead.

Leading means infecting others with your enthusiasm and encouraging them to give the best of themselves to make the idea happen. It also means having the initiative, confidence, and courage necessary to press on.

There is no denying that the term has experienced incredible growth over the last 2 years and it doesn’t look like it will slow down anytime soon. And with a suggested bid of £5.73 per click and a competition score of 0.76 in Google AdWords, competition from influencer marketing platforms and Agencies looking to connect brands with Social Media stars is increasingly ferocious. As you can see from the chart below, there has been a 1000% rise in people searching for influencer marketing solutions or advice over the past two years, demonstrating the massive rise in its popularity recently.

But, Why do influencers matter?

Influencers can help your business by enabling you to reach audiences well beyond your existing customer base. Where your target audience can be suspicious of the claims you make in your marketing, an influencer is seen as more impartial and therefore more credible. These influencers will often be early adopters of the platform so as well as being able to reach more of your target audience, they will be able to provide valuable insights into how you can suitably adapt your communications to appeal to your target market in a more effective manner.

Understand The Numbers

To ensure the health of your business, you need to understand the numbers behind your expenses and revenue.

If you’re like many small business owners, you probably have a somewhat rudimentary understanding of business accounting. But wrapping your head around the numbers, especially for those math-avoidant types, can be the least favorite part of owning a business. And while it may seem easiest to focus in on a few vital tasks, experts insist that all elements of business accounting are important.

All the accounting tasks have to be understood. Small business owners need to achieve an understanding of cash flow, revenue and expenses and how all of these work together. They need to gain a working understanding of the basics of small business accounting, preferably by taking a small business, rather than a general, accounting class.

In addition to the basics of small business accounting, a small business class will also provide insight about income, cost of goods, expenses, assets and liability, and equity/net worth. Everything a small business owner will do will fit into one of those five categories one way or the other. Then, when the numbers are plugged in, they can use this information to budget and plan and manage their cash flow.

One of the main reasons small businesses fail is due to the tendency to over-project income and under-project expenses. So, comprehending the numbers is necessary to appropriately manage the health of your business—it’s the only way you’ll understand how you’re actually doing, and if you’re on target with your projections or need to make adjustments.

While accounting software is an incredible tool, it doesn’t let you off the hook. You shouldn’t do anything with this software until you have an understanding of small business accounting. You need to understand what numbers go under what category or you won’t be able to set it up properly. Plus, you also need to understand what the accounting software is doing.

While accounting is critical, it isn’t an aspect of your operation that needs to fall entirely into your lap. There may be someone on your staff who can manage the day-to-day bookkeeping, or you can outsource certain pieces to an accounting firm, especially end-of-the-year essentials. Regardless of how you approach specific tasks, though, the key is to take steps to build a broad awareness of the fundamentals. Whether you enroll in a class at a local college or online, get schooled by a friend or read one of many available books, don’t underestimate the importance of truly understanding the numbers and how they play a role in every aspect of your business.

Legal Mistakes to Avoid

Don’t put your business at risk with these common legal missteps.

You work hard to make your small business distinct from other similar operations—especially those in the same industry and/or serving the same type of clientele—after all, differentiation is how you make your business stand out. But when it comes to small business legal blunders, you probably have more in common with your cohorts than you think.

There are many legal missteps for small business owners. We have narrowed it down to the five most common.

  1. Taking a do-it-yourself approach
    Sure, you can get free legal documents on the Internet, but how do you know what you’re downloading is correct, that it contains everything it should and if the wording is appropriate? And once you have it, do you even know what it says? After all, legalese isn’t a language everybody speaks fluently.
  2. Not getting it in writing
    Now is not the time to go old-school and take an oral agreement or a handshake approach. Yes, oral agreements can be binding, but good luck proving the terms of the agreement or that it even existed. Your rock-solid deal can quickly devolve into you said/they said situation, possibly leaving you on the losing end. An additional advantage of getting everything in writing is that the terms are laid out for everyone to evaluate. And later, if there’s a dispute, you’ll have one written document to refer to, rather than individual memories.
  3. Playing it fast and loose with employees
    You can avoid potential legal issues with employees by simply playing it by the book. Unfortunately, this happens a lot. Employers get into trouble by cutting corners when it comes to pay, hours, conditions of employment and withholding taxes. This can cause a lot of legal trouble for the employer, but it’s also just bad business.
  4. Not having a buy-sell agreement
    If you have co-owners or co-founders, a buy-sell agreement covers what will happen if one of them dies, becomes disabled or ill, wants to sell, goes through a divorce and so on. You need to clarify all of this when everyone is happy, healthy and on good terms. It’s much harder to reach an agreement or achieve a satisfying outcome when the situation has changed or become dire and fraught with emotion.
  5. Avoiding your lawyer
    We recommend setting an appointment with your attorney at least once a year. Think of this like an annual physical for your business. Providing your attorney with a clear picture—whether you’re expanding, adding new products, entering a new territory or market, or having issues with employees—will ensure all legal angles are covered. There are two sayings that apply here. One is that 'what you don’t know can hurt you.’ The other is that ‘you don’t know what you don’t know.’ So, take your lawyer to lunch once a year to talk about the business. And here’s a professional tip: If you buy lunch, they probably won’t charge you for the time.

THE RISE OF DARK SOCIAL

WHAT IS DARK SOCIAL?

The term dark social was coined by Alexis C (a Senior Editor at The Atlantic) in an article written in 2012.  So arguably, this is actually a relatively old concept. However, it is only just now that marketers are starting to take notice, and rightly so.

Simply, dark social refers to any content that is shared outside of the public eye (i.e. privately), and therefore outside of what can be measured by web analytics.  I can confidently assume that every person who reads this article will have shared articles or pages through the medium of dark social, most likely because you don’t want the entire world to know that you find “25 things people do when nobody is looking” so entertaining or that you think that “10 things all single girls do” is so uncannily relevant to you.  In fact, it is such a popular way of sharing content that dark social is now responsible for nearly 84% of all outbound sharing.

The most common dark social platforms are:

– Email

– Native Mobile Apps – e.g. Facebook and Instagram

– Messaging apps and Texts – Such as Whatsapp and FB Messenger

However, 90% of social marketing investment is on public platforms, meaning that dark social could be a huge opportunity that businesses currently aren’t accounting for.

WHY IS IT SO IMPORTANT?

1. Dark social has a monumental impact on traffic. RadiumOne reported that in the last 18 months onsite shares via dark social jumped from 69 to 84% of all shares globally.

2. It is a great marketing opportunity to truly get to know your audience. If you can get familiar with your audiences’ dark social habits you can get detailed representations of your consumer's true interests.

3. A unique demographic that is hard to reach on public social channels. “According to RadiumOne’s research, 46 percent of consumers age 55 and older share only via dark social, as opposed to those in the 16 to 34 age group, where only 19 percent do so.” (Source: https://blog.hootsuite.com/dark-social/)

The impact of dark social is also widespread.  It doesn’t just affect certain e-commerce industries or the blogging community, most industries ranging from personal finance to food and drink are affected, with automotive category ranked the highest at 82.4%, followed by finance (72.1%) FMCG (61%) and retail (56.3%).

SO HOW CAN BUSINESSES MAKE THE MOST OF IT?

There is no 100% fool-proof way of tracking activity in dark social, as, after all, it is private. So the ability to track and join in would be contradictory in nature.  I fear if a genius brain out there manages to crack it, it would dilute the very reason which makes the platform so powerful in the first place.  However below are some tips and tricks that can help along the way that won’t breach dark socials’ privacy credentials.

1. Link shorteners. Shortened URLs can encourage people to share using trackable links. Tools from Google, Bit.ly, and HootSuite can be used to create the links and they supply accompanying analytics on the URLs performance.  Short links are more convenient and easier to cut and paste encouraging avid dark social users to share.  Brands can also use campaign-specific shortened URLs to identify which audiences are engaging most and use the data to create valuable audience segments to target.

2. Brand Presence. Make sure your brand presence is interweaved throughout all content so if anything does get cut, copied and shared, it is still clear who is responsible for the piece.  The last thing you want is to create a groundbreaking article of viral content that gets snipped down and shared and then snowballs across the social media landscape missing any reference for who is responsible for it.

3. Making it personal; shifting towards conversation marketing. This increasing response to one-to-one personal conversation and sharing that we see in dark social has introduced the opportunity for the increasing popularity of Chatbots.  Many businesses are now recognizing Chatbots as more than just CRM platforms. They could soon become the central point to customer services, brand personality and importantly the path to purchase, as this is clearly an environment where people are active – and comfortably – engaging with brands and content.  To understand more on Chatbots there is an article with accompanying slides here that is worth a look.

4. Google Analytics and coding.   “Creating an advanced segment in Google Analytics that tracks visitors who come to your website via direct search, but don’t go through your homepage (Social Media Today has detailed instructions on how to do this).
